How to create and manage bookable desks in OpenSpaces

Desk configurations let you organise and group desks for booking in OpenSpaces. Each configuration can have its own pricing, features, and custom fields, allowing you to differentiate between desk types or booking scenarios.

Whether you offer hot desks, dedicated workstations, or premium desk spaces, desk configurations help present customers with the right options and pricing for each desk type.

Creating a New Desk Configuration

To create a new desk configuration:

  1. Click Create New Desk Configuration in your dashboard.

  2. Fill in the configuration details.

Basic Information:

  • Images: Upload multiple images to showcase the desk configuration. These images appear on the widget to help customers visualize the workspace.

  • Name: Enter the name displayed to customers when browsing desks on the widget.

  • Description: Add a detailed description highlighting key features, amenities, or other important details about the desk configuration.

Desk Selection:

  • Select multiple desks to include in the configuration.

  • Unlike rooms, desk configurations create a single shared configuration for all selected desks.

  • When a booking is made, one desk from the group is assigned automatically, making it ideal for hot-desking scenarios where any available desk can fulfill the booking.

Pricing

  • Widget: Assign the desk configuration to a specific widget to ensure it appears in the correct booking interface.

  • Price Rates:

    • Price per Hour: Rate for hourly bookings

      Price per Half Day: Rate for half-day bookings (based on booking windows)

    • Price per Day: Rate for full-day bookings (based on booking windows)

  • Tax Rate Options:

    • Widget Tax Rate: Inherit from the widget.

    • Stripe: Use tax rates configured in your Stripe account.

    • Custom: Define a specific tax rate for this desk configuration.

Features

  • Define features that describe the desk configuration (e.g., Standing Desk, Dual Monitor, Ergonomic Chair, Quiet Zone).

  • Features allow customers to filter desks on the widget, making it easier to find a workspace that fits their needs.

 

Managing Desk Configurations

Once created, desk configurations appear on the Desk Configurations screen. From here, you can:

  • Filter configurations to find specific desks.

  • Edit configuration details.

  • Delete configurations that are no longer needed.
