Parking Permits
Manage parking access with user-specific permits
Parking Permits allow administrators to control access to specific parking spaces for individual users while protecting user privacy.
How Parking Permits work
Parking Permits allow you to:
- Assign permits to individual users.
- Restrict parking spaces to specific permit types.
- Allow users to submit their own permits for approval.
- Include permit data in reports and exports.
If a parking space is restricted to a certain permit type, the user must have a valid approved permit to complete the booking.
Parking permits apply to individual users only and cannot be assigned by team.
Adding and viewing your own Parking Permits
This permission allows users to view permits within Profile > Add Permit.
Users will be asked to complete the following details:
- Display name
- Permit type - Blue Badge, Staff Permit, Visitor Permit, Contractor Permit, or Other to create a custom type
- Reference number
- Issuer
- Expiry date
- Permit document


Create and manage your own Parking Permits
This permission allows users to upload and manage their own permits, if enabled within Settings > Users > Roles > Permissions when editing a user role.

Create, update, and delete Parking Permits for other users
This permission allows authorised users to:
- Create permits for other users.
- Edit permits.
- Delete permits.
- Approve pending permits.
Only users with permission to manage permits for other users can approve submitted permits.
Creating a permit as an admin
Admins can manually add permits through the user profile area.
To create a permit:
- Go to Settings > Users.
- Select the user and click Edit.
- In their profile, click Add Permit.
- Enter the permit details.
- Click Save.


Restricting spaces by permit type
Parking spaces can be restricted so that only users with a matching permit can book them.
This is useful for:
- Accessible bays
- Staff-only spaces
- Reserved permit-only parking
- Specialist spaces with controlled access
Important
Users may still be able to see restricted spaces, but they will not be able to complete the booking unless they hold the correct permit.
Expiry and warnings
Permits can include an expiry date.
- If a permit is near expiry, the system shows a warning banner.
- If a permit has expired, the user will lose access to spaces restricted to that permit type.
User-created permits and approval
If users have permission to manage their own permits, they can submit one themselves.
These permits will be marked as Pending Approval until an authorised admin reviews and approves them.
Approval notifications appear in the same area used for other system approvals.
