Account Settings

Customise your Clearooms portal with your logo and brand colours.

Company Details

The Company Details section stores key information about your organisation. This helps personalise your account, improves reporting accuracy, and ensures user profiles are correctly structured.

Please complete all required fields marked with an asterisk (*).

  • Company Name: Enter your organisation’s full legal or trading name.

  • Industry: Select the industry that best represents your organisation.

  • Phone Number: Enter your company’s main contact number, including area code.

  • Website:  Add your organisation’s main website URL.

  • Country: Select the country where your organisation is primarily based.

  • Number of Employees:  Enter the total number of employees in your organisation.

  • User External Reference Label: This field lets you define a custom label that will appear on each user’s profile under the Additional Fields section.

    Common examples include:

    • Employee ID

    • Payroll Number

    • Staff Number

    • HR Reference

 

Branding 

Display Image (Logo)

  • By default, the Clearooms logo is displayed.

  • You can replace it with your own logo, which will appear in the top left corner of the web portal for all users.

  • The system will automatically resize your image, but the recommended size is 100px high and up to 800px wide.

This logo will also be used on the Meeting Room Display App. If preferred, each meeting room can be customised with its own logo. 

Brand Colour

  • To update the default colour, click on the colour and click on the current colour swatch.

  • Use the colour picker to select your preferred shade.

  • The water drop tool lets you pick a colour directly from your logo or anywhere else on the page.

Time Settings 

Token Expiry (Days)

This setting determines how many days your users can remain logged in.

Important: Changing this value will log out all users immediately

First Day of the Week

  • This setting affects the Meeting Room page by setting the first day of the week at the beginning of the page.

12/24 Hour Format

  • Global setting to format time in 12 hour or 24 hour clock

 

Preferences 

Smart Booking

  • Enabled by default on all accounts (from 20th Oct 2025) this setting allows administrators to disable the function so that the "Smart Booking" is not visible to any users.

Preferred Landing Page: Choose which page users see first when they log in.

Default Office Plan Size:  Select the default size for office plans.
