How to manage booking refunds with OpenSpaces

Cancellation policies let you control refunds when users cancel bookings. Each policy defines the refund percentage based on how far in advance the booking is cancelled.

Default Policy

Every account must have at least one cancellation policy. The default policy applies to guest users or bookings/packages that do not have a specific policy assigned.

Creating a Cancellation Policy

To create a new cancellation policy:

  1. Click Create New Cancellation Policy in your dashboard.

  2. Enter a Name for the policy.

  3. Enable Default if this policy should apply to all unassigned bookings.

  4. Set Refund Rules for specific time ranges:

    • Define Hours From / To, specifying how far in advance the booking is cancelled.

      Example ranges:

      • "0–12" means cancellations made within 12 hours of the booking
      • "12–24" means cancellations made between 12 and 24 hours before the booking
      • "24–Blank" means any cancellation made more than 24 hours in advance
    • Ensure ranges are continuous with no gaps to avoid conflicts.

  5. Assign the Refund Percentage for each time range. 

    • Each time range can have its own refund percentage, allowing you to define how much a user is refunded depending on when they cancel.

Once saved, the cancellation policy will automatically apply to relevant bookings according to the rules you set.
