Desk Allocation

Control Desk Access and Availability with Allocation Settings

Clearooms can restrict booking access to desks based on Teams or Users. Here are the steps to set this up.

Advanced allocation allows you to allocate desks to multiple users or teams and allocate for certain days of the week for part time workers and hybrid staff.

Allocate Desks to Teams and Users

  1. Method 1
    1. From Settings > Desk Allocation search a desk and allocate using the drop down options in the Teams and Users fields. This form auto saves
  2. Method 2
    1. Go to Settings, select “Offices,” and then choose “Edit Office Plan.” . Then click on any Blue Desk icon.
    2. Scroll to the Team or User Allocation field and search for the Team or User to allocate the desk to.

Turn on Team/User Booking Restrictions

  1. From Settings > HotDesks > Rules scroll to Allocation Rules 
  2. Turn on the option to restrict to assigned Users and/or restrict desks to assigned Teams
If desks are assigned to Teams or Users without the restriction turned on, these teams and users will be visible when viewing a desk but the desk remains open to be booked by any user.
