Managing Users
Manage user accounts by editing details, archiving, or permanently deleting users in Clearooms.
To edit an existing user open Settings > Accounts > Users and user the search feature to locate any user and click on the edit icon next to their name.

From here you can edit the users:
- Name
- Email Address
- Team
- Default Office
- Role
Types of User
Invited: An invited user is one that has been sent an invite.
Invited users do not include Bulk Imported users as they are not invited, they are created as existing users when imported.
Existing: These are your live users that have accepted the invitation and logged in or have been imported
Archived: These are users you have archived. Archived users bookings are still visible in reports and can be re-enabled should you wish to in the future (see demo on enabling archived users here)
Deleted: An archived user can be permanently deleted form the system, If this is actioned all record of the user will be removed including their bookings
Deleting users will impact your utilisation reports as their bookings will no longer existing in the system.
Exporting Users
Deleted users cannot be seen or exported, they no longer exist in the system.
Re-Enabling archived users
To enable an archived user open Settings > Users and collapse the "Existing Users" list or search for the archived user.
Click on the edit button against the user (see demo below) and click "Enable User"
Deleting a user
Once a user has been archived you have the option to permanently delete them from Clearooms by following the steps below:

Navigate to Settings > Account > Users

Click on the drop down arrow next to archived users

Click the delete icon next to the user you wish to delete. A confirmation message will appear. If you're sure, click yes to proceed. The user will now be permanently deleted.
Important notes

Once a user is deleted, they cannot be reactivated.

Deleting a user will also remove all associated historical bookings and report data.

If there is any possibility you may need to reactivate the user, consider keeping them archived instead.
