Meeting Room Display Settings

Set up and customise your Clearooms Room Display App for seamless meeting visibility and management.

The Clearooms Room Display App makes your meeting room bookings visible to everyone, helping to avoid awkward interruptions and making room availability easy to see at a glance. This guide explains how to set up your tablet display, manage default app behaviour, and customise the look and feel of the display app.

Default App Settings

The new Default App Settings layout includes an On this page section with the following tabs:

  • Appearance
  • Background
  • Walk Ins
  • Display
  • Security

These tabs help organise the app settings more clearly, especially for devices running version 3.0 or above of the Display App.

Your room display app has some default settings which can be changed as you need. Room settings and Device settings override these default settings if amended. 

  • Enable Walk In: Walk-in meetings are enabled by default, but you can switch this off. When on, there are 3 options: Tablet Mode, Contactless QR Mode and Tablet & Contactless Mode. The settings page shows the difference between these settings. 
  • Allow to end meetings: This is on by default but can be disabled. When on an "End Meeting" option is displayed, if the meeting is a walk-in meeting
  • Confirm Meetings: This option displays a countdown timer from 15 minutes before the start of the meeting and requests that the meeting be confirmed or cancelled. If confirmed, the display shows it is confirmed and continues its countdown. If cancelled, the meeting is removed from Clearooms and any integrated bookings on Outlook/Google
  • Display Mode only: If you wish to use the display as a visual tool for availability only and not allow walk-in meetings or other actions, then you can turn this on (Turned off by default) 
  • Eco Mode: Eco Mode will dim the tablet's display screen to zero when the office is not open (Based on your office opening hours in Settings > Account) 
  • Pin Code: When a pin code is added, the settings screen (Top right of the app) requires this pin to make changes to the app, such as switching to another meeting room. 

When no pin is entered, you still need to press submit when asked for the pin; do not enter any pin number.

Slack Webhook: This option is to alert you when your tablet's battery is less than 10%

Appearance settings for Display App v3+

For devices running version 3.0 or above of the Clearooms Display App, there is a new Device App Settings display available from your Meeting Rooms > select meeting room > Manage Settings. This updated layout provides more control over the design of the display app.

The Interface Version setting only applies to devices running version 3.0 or above of the Display App. There are 3 interface options:

  • Legacy

    For older tablets running versions below 3.0.

  • Landscape

    For Display App v3.0+. This is the updated design and includes more customisation options.

  • Portrait

    Also for Display App v3.0+. This uses the same updated design in a rotated layout and is ideal for narrow door-side mounts.

Background

When Landscape or Portrait is selected, you can customise the background shown behind the room name.

You can choose from standard images within Clearooms or Uploading your own media or files. You can also select a range of solid or gradient colours. This gives you more flexibility to match the display app to your branding and device placement.

Display Image (Logo)

By default, the Clearooms logo is displayed. You can replace this with your own logo, which will also be used on the Meeting Room Display App. The recommended image size is 100px high and up to 800px wide.

You can update the default brand colour using the colour picker. The eyedropper tool can also be used to select a colour directly from your logo or elsewhere on the page.
