OpenSpaces Room Configuration

Room configurations define which rooms are available for booking on OpenSpaces.

Each configuration allows you to set detailed information about a room, including pricing, features, services, and any custom fields you want to collect during booking.

Creating a New Room Configuration

To create a new room configuration:

1. Click Create New Room Configuration.

2. Fill in the configuration details.

Basic Information:

• Images: Upload multiple images to showcase the room. These appear on the widget to help customers visualize the space.

• Name: Enter the name displayed to customers when browsing rooms.

• Description: Add a detailed description highlighting features, capacity, amenities, or any key information that helps customers understand the room.

Room Selection:

• First, select the office and then the meeting room(s). You can select multiple rooms by clicking each room in the drop-down list.

• Each room will have its own configuration, which can be edited independently after creation. This allows you to apply base settings to multiple rooms while customizing individual details such as pricing or features.

Services:

• Include services that have already been created in Clearooms by clicking the Include button.

Service Pricing Options:

• Use Service Rate (Inherit): Charge the default service rate.

• Override Rate (Custom): Set a custom rate specific to this room configuration.

Service Tax Rate Options:

• Inherit Widget Tax Rate: Use the tax rate set at the widget level.

• Stripe: Use tax rates from your Stripe account.

• Custom: Define a specific tax rate for this service.

Pricing

• Widget: Select which widget the room configuration is associated with to ensure it appears in the correct booking interface.

• Price Rates: Set customer-facing rates:

  • Price per Hour:  Hourly booking rate.

  • Price per Half Day:  Rate for half-day bookings, based on booking windows.

  • Price per Day:  Rate for full-day bookings, based on booking windows.
    
    

• Tax Rate Options:

  • Widget Tax Rate: Inherit from the widget.

  • Stripe: Use Stripe-configured tax rates.

  • Custom: Define a specific tax rate for this room.
    
    

Features

• Define features such as Projector, Whiteboard, Video Conferencing, Catering Available, etc.

• Features help customers filter rooms on the widget, making it easier to find a space that fits their needs.
  
  

Managing Room Configurations

Once a room configuration is created, it appears on the Room Configurations screen. From here, you can:

• Filter configurations to quickly find rooms.

• Edit any configuration to update details.

• Delete configurations that are no longer needed.
