How to install, lock down and run the Clearooms Room Display App on an Android tablet
The Clearooms Room Display App lets you view real-time meeting room availability directly from a tablet mounted outside the room. This guide explains how to install the app, keep the screen awake, lock the device into the app, and manage day-to-day use.

Before you begin
This guide assumes you have a dedicated Android tablet, or a large Android phone, that will be mounted outside a meeting room and used only as a Clearooms room display.
You will need:
- An Android device running Android 9 or later
- Access to the Google Play Store and a Google account
- A reliable Wi-Fi network with internet access
- A Clearooms Room Display App login for the device
- A permanent power supply so the device remains plugged in during normal use
The Clearooms Room Display App is designed to be displayed on a tablet outside each meeting space to show availability and make bookings more visible. You can download the Android app from the Play Store here: Clearooms Room Display.
Note : Android menu names vary between manufacturers such as Samsung, Google Pixel, Lenovo, and Amazon Fire. If a menu path below looks different on your device, use the search bar in the Android Settings app to find the equivalent option.
Install the Clearooms app
1. Power on the device and complete the Android setup
- Connect the device to Wi-Fi
- Sign in with a Google account
- Skip any optional steps that are not needed for a wall-mounted display
2. Open the Google Play Store
- Tap the Play Store icon on the home screen
3. Search for Clearooms
- Confirm the publisher is Clearooms Ltd.
4. Install and open the app
- Tap Install
- When the download finishes, tap Open
5. Sign in to the app
- Enter the email address and password for the account assigned to the device
- Select the meeting room this device should display
Once installed, the app can be signed in using a user with admin access to the Clearooms portal. It is best to create a dedicated dummy user for the display device so the login is not tied to a staff member who may later leave the business.
Keep the screen always on
Android devices turn off the screen after a short period by default. To keep the display visible at all times, use both of the steps below.
Set the longest screen timeout
- Open Settings > Display
- Open Screen timeout
- Choose the longest available timeout, usually 30 minutes
This helps, but by itself it is not enough.
Keep the screen on while charging
- Enable Developer options
- Open Settings > About tablet or About phone
- If needed, open Software information
- Tap Build number seven times until you see the developer confirmation message
- Open Developer options
- On many devices this is under Settings > System > Developer options
- On Samsung devices it usually appears near the bottom of the main Settings menu
- Turn on Stay awake
- This may appear as Stay awake while charging
When this setting is enabled, the screen stays on whenever the device is plugged in.
Important: Stay awake only works while the device is charging. The tablet should stay permanently connected to power during normal operation.
Lock the device into the Clearooms app
Android includes a built-in feature called App pinning, also known on some devices as Screen pinning or Pin windows. This locks the device to a single app so users cannot leave the Room Display App without a PIN, pattern, or password.
Enable App Pinning
- Open Settings > Security or Security & privacy
- On Samsung devices go to Settings > Biometrics and security > Other security settings
- Find App pinning, Screen pinning, or Pin windows
- If needed, search the Settings app for pinning
- Turn the feature On
- Turn on the option to ask for PIN, pattern, or password before unpinning
- This is essential so users cannot exit the app easily
- Set a device PIN, pattern, or password if one is not already configured
- Only share this with IT or facilities staff
Pin the Clearooms app
- Open the Clearooms Room Display App
- Make sure the app is signed in and showing the correct room
- Open the Recent apps screen
- Use gesture navigation or the Recents button, depending on the device
- Tap the Clearooms app icon at the top of the app card
- Tap Pin or the pin icon
- Confirm any on-screen prompt
The device is now locked to the Clearooms app.
How to unpin the app
On gesture-navigation devices, swipe up from the bottom and hold
On three-button navigation, press and hold Back and Recents together
Enter the device PIN, pattern, or fingerprint when prompted
Manufacturer-specific kiosk modes
App pinning is the easiest option and works on most Android devices. For larger rollouts, you may prefer a manufacturer or MDM-based kiosk setup.

Day-to-day operation
1. Leave the device plugged in
The display should remain on charge at all times so the screen stays awake and the app remains visible.
2. After a power cut
If the device restarts or the screen lock appears after a power interruption:
- Unlock the device with the PIN
- Re-open the Clearooms app
- Re-pin the app using the steps above
If you are using a fully managed kiosk setup, this process may happen automatically.
3. After an Android update
Major Android updates can end the pinned session. If that happens, open the Clearooms app again and re-pin it.
4. Updating the Clearooms app
To update the app:
- Unpin the app
- Open the Play Store
- Update Clearooms Room Display
- Re-open the app
- Re-pin it
Troubleshooting
The screen turned off on its own
Check that the device is plugged in. Android’s Stay awake setting only works while charging. Also confirm the screen timeout is set to the longest available value.
I cannot find App pinning in Settings
Menu names vary between manufacturers. Use the search bar in Settings and search for pinning. On Samsung devices, look under Biometrics and security > Other security settings.
Pinning lets users unpin without asking for the PIN.
You forgot to enable Ask for PIN before unpinning. Go back to Section 4 Step A and turn it on.
The Clearooms app crashed or is not loading bookings
First, check the Wi-Fi connection. If the issue continues:
- Unpin the app
- Go to Settings > Apps > Clearooms
- Force stop the app
- Re-open Clearooms
- Re-pin the app
The display is too dim or too bright
Open Settings > Display, turn off Adaptive brightness, and set the brightness level manually.
